How the price works

You commit to a monthly drinks tier, and that tier sets a simple fixed price for the term — no separate hardware cost, no set-up invoice, no hidden extras. If your team's usage grows into a higher tier, you can upgrade at the next billing period. If usage runs over your committed tier in a given month, the extra drinks are billed at the standard overage rate — so there are no surprise charges outside that.

The four requirements at a glance

Consumption

The main dial: the number of drinks per month sets your cost. Count your real office days — hybrid working counts heavily.

The standard tier starts at 1,000 drinks a month; below that, a small volume surcharge applies rather than a hard cutoff, so smaller offices aren't turned away.

From what consumption level a water cooler is worth it, you'll read on the small-offices page.

The number of taps

This isn't just about total consumption — your price tier is based on drinks per machine, not total drinks.

Spreading the same volume across more dispensers lowers drinks-per-machine, which can push you into a lower tier and raise your per-drink rate. Fewer, more heavily-used taps get the better price.

Optional modules

Modules such as hot water (80° or 95°) don't change your per-drink price. They're billed as their own fixed monthly add-on, based on the module's price spread evenly over your contract length.

The contract form

Contract length is a real lever: longer terms (24 to 60 months) get a lower per-drink rate — this is core to how pricing works, not a minor detail.

Notice period is a separate matter: nothing in the pricing documentation ties it to the price itself, so treat that as an open legal question rather than a pricing one. How the contract works is covered on the rental page.

What do you pay per month?

What do you pay per month?

The sum is simple: the number of drinks times the price per drink. One amount, everything in it, and it moves with your consumption. That's also what makes it different from most UK rental offers, where a weekly rate runs for 36 or 60 months whatever your team drinks.

Worked example

An office of 20 employees working full-time from the office (21 office days/month, ~3 drinks per person per day) pours roughly:

1,260 drinks a month

At €0.27 per drink that lands at about €340 a month, everything included.

Rent, lease or buy?

Most offices choose the service model: you pay per drink and the dispenser, installation and servicing simply come with it.

No machine on your books, no maintenance at your expense, and no multi-year lease wrapped around a "free" installation.

How renting a water cooler works, from request to installation, is on the rental page.

Frequently asked questions

If your question isn't here, let us know.

01

How much does a water cooler cost for an office?

With Aquablu you pay per drink, with everything in that price: the dispenser, the installation, the maintenance and the warranty. There's no fixed monthly fee; your monthly total depends on how much your team drinks. The calculator works it out for your office in one minute.

02

What's included in the per-drink price?

Everything: the REFILL+ Series 2 itself, the installation by a certified engineer, filtration designed for UK mains water, the maintenance with 48-hour response, and the warranty plus filters and service visits. If something breaks, we fix it without an extra bill.

03

Do you pay separately for installation or maintenance?

No. Both sit inside the per-drink price, without a separate invoice.

04

Can you rent a water cooler instead?

The Aquablu model is at its core a rental model: the dispenser including full service comes with the per-drink price, and you're not buying hardware. How that works exactly, from request to installation, is on the rental page.

05

Can you buy a water cooler outright?

In specific cases, one-off purchases are also possible.

06

Is a water cooler more expensive than bottled water?

Compare the whole chain, not just the price per litre — deliveries, deposits, storage, chilling, and lifting. Taking these into account, a water cooler is usually cheaper for offices of 25+ employees.

07

Are there hidden costs?

No. There is no deposit, no delivery charges, no separate installation invoice and no repair bills. The only extras that exists: optional hot module and moving the dispenser within your office or to a new building costs £200–£300 depending on the situation.
